Status and period of residence are regulated for foreign residents.
 Status of residence and period of residence are written on your passport upon arrival in Japan.
 There are 27 types of status of residence. You can not do activities other than those permitted by the status of residence.
 There are 8 different lengths of period of residence. If you intend to stay over the permitted period, you have to apply for the extension of the period.
Procedures concerning residence of foreigners are handled at Nagoya Regional Immigration Bureau, and Branch Offices of the Immigration Bureau in Shizuoka City and Hamamatsu City.
 You can apply for renewal and change of details in the visa, as well as settling in Japan at the Branch Offices of the Nagoya Regional Immigration Bureau in Shizuoka city and Hamamatsu city. But you have to go to the Bureau in Nagoya for consultation about overstay and more.
 Inquiries about Status of residence can be done at the Nagoya Immigration Information Center.

(2) Acquisition and change of status of residence

Acquisition of status of residence of newborns

 When a child is born of non-Japanese parents in Japan and the baby is staying in Japan for 60 days or more, the parents have to apply for the status of residence of the baby.
The status and period of residence of the baby will be granted in accordance with those of the parents.
 Applications will be accepted at Hamamatsu Branch Office of Nagoya Regional Immigration Bureau.

 Documents required for the application:

1. An application form for permission of the status of residence
2. Papers that certify the birth of the child (birth certificate, maternity and child health handbook, etc.)
3. The parents’ passports or certificates of alien registration

Change in status of residence

 If you change your employment activities in Japan that are not permitted by your present status of residence, you need to change status of residence within the permitted period of time.
 Documents required for change vary, so please inquire at the Regional Immigration Bureau.

(3) Extension of period of residency and re-entry permission

Extension of period of residency

 Period of residency for foreign residents is restricted.
If you wish to stay in Japan beyond the permitted period, you need to apply for an extension of period of residency.
Applications must be made 2 months before the end of the previously permitted period of residency.
 Documents required for the application vary depending on the type of period of residence, so inquire at the Regional Immigration Bureau.

Re-entry permission

 If you get re-entry permission when you temporarily leave Japan during the period of residency, you can enter Japan again with the same status of residency, without applying for new entry visa.
There are two types of permission: “re-entry permission” which is valid for only one entry, and “multiple re-entry permission” which enables you enter Japan as many times as you like during the set period.
You can apply for permission at the Regional Immigration Bureau.
If the applicant is under 16, or can not apply in person for some reason; a parent, spouse, or other family member can make the application instead.

Application for Seal Registration

Anyone who is above 15 years old and registered for the alien registration can apply for the seal registration. You need your alien registration card and your seal that you want to register. The seal registration by foreigners is accepted at "shimin-ka" at the City Hall, "shimin madoguchi kakari" at Daito branch office and at Osuga brach office. Only one seal per person may be registered.

<Acceptable seal>

 Seal has to be ordered to be made. You need to use your name (in alphabet, kanji, katakana, or hiragana) that is recorded in your alien registration book.

< Unacceptable seal >

1. Seal obtaining a name that is not written in your alien registration book.
2. Seal obtaining small letters even if the name is written in your alien registration book.
3. Seal that is made out of plastic or rubber and easy to deform.
4. Seal obtaining extra information like occupation, license, and etc. besides your name.
5. Seal that has less diameter of 8 mm or larger diameter of 25 mm.

Registration of commonly used name

It is possible to register your seal by using your commonly used name rather than the one written in your alien registration book. You need to submit some documents (your name tag that includes the name of company, salary statement, or others) that prove the name is commonly used in Japan.
It is better to have two sections in your name just as Japanese names: family name and first name.

Seal Registration by proxy

Seal registration by proxy requires to submit different document (proxy assignment report). It takes about one week to complete the registration as it requires a process of referral of the applicant. Please inquire for this matter at the desk.

Issue of the seal registration

Once the application process is completed, a personal seal registration card, "Inkan toroku sho" that proves the registration of the seal will be issued to you. When you bring this "Inkan toroku sho" to the desk, a personal seal registration certificate will be issued. The fee is 300 yen. (as of January, 2009)

When foreigners report above cases in Japan, please inquire at the City Hall in advance.
Procedures and necessary documents vary depending on the country. The City Hall will guide the procedure based on the laws of each country after confirmation of the nationality and the details of the case. Regarding any reports and application to your native country, please inquire at the embassy or the consulate of your native country.

Birth

When a new child is born between a foreign couple, Please register the birth where parents registered their alien registration.

• Birth certificate (shussei shomeisho = shussei todoke) will be issued at the hospital where the child was born.
• Report the birth to the City Hall within 14 days.
• When you report the child’s birth, please bring the birth certificate, parents’ passports, alien registration cards, mother-and-baby notebook.
• Alien registration for the new born child will be processed, too. There are also other procedures regarding children’s welfare.

Please go through the necessary procedures like registration to your native country, status of residence, passport of your new born child.

• Please confirm the necessary document and number of document at the embassy or the consulate of your native country and immigration bureau.
• In about three days, "shussei todoke kisaijiko shomeisho" (birth registration certificate) will be issued with fee.

Death

• You have to report death with the hospital death record issued by the hospital within 7 days.
• Please return the alien registration card of the deceased. If the deceased person was insured by the national health insurance system, please return the national health insurance card.
• Regarding the death report to your native counrty, please inquire at the embassy or the consulate of your native country.
